The short application: what to include and when it works

A focused CV and brief cover note can open a conversation—if you use the format in the right context.

CV writing
Two documents. One argument.

A short application—often called a Kurzbewerbung in Germany—is a reduced first-contact package. It usually contains a targeted CV of one or two pages and a concise cover note. Certificates, references, transcripts and large portfolios stay ready for the next step rather than travelling in the first email.

The principle: reduce file volume, not relevance. Every line still needs to help the reader understand your fit, motivation and next step.

What counts as a short application?

The format sits between a networking message and a complete formal application. It gives enough information to evaluate whether your profile is worth exploring, but it does not attempt to document your full professional history.

Short applicationFull application
Focused CV, usually 1–2 pagesFocused CV, usually 1–2 pages
Brief email or one-page cover noteFull cover letter where expected
No certificates in the first contactCertificates, references and requested evidence
Goal: open a conversation quicklyGoal: satisfy a defined selection process
Best for flexible or exploratory contextsBest for formal vacancies with document requirements

When the format works—and when it does not

A short application is strongest when speed and early fit matter more than documentation. Useful situations include career fairs, speculative applications, start-ups, short-term roles, internships, hospitality or retail roles, and direct introductions after a networking conversation.

It is usually the wrong choice when the vacancy explicitly asks for “complete application documents,” when a public-sector process uses fixed criteria, or when licenses and qualifications must be verified at the first stage. Senior leadership, regulated work and academic selection often require more evidence up front.

Read the instruction literally. If a portal lists required uploads, omitting them is not concise—it is non-compliant. Use the short format only when the channel leaves room for it.

The minimum useful package

  1. A role-specific subject line. Name the job, location and reference number where available.
  2. A focused message. State why you are contacting this organisation, what relevant value you bring and what you would like to happen next.
  3. A readable CV. Put the most relevant evidence in the top half of page one.
  4. One sensible link. Add LinkedIn or a portfolio when it provides evidence that the CV cannot show efficiently.
  5. A professional file. Use one clearly named PDF, such as Firstname-Lastname-CV.pdf.

How to build the short CV

Do not make every section smaller. Make the selection sharper. Start with the target role, then keep only material that supports it.

Use this order

  • Name, city, phone, email and relevant profile link.
  • A two-to-four-line summary tailored to the role.
  • Recent relevant experience, with two to five achievement bullets per role.
  • Education and certifications that affect eligibility.
  • A compact skills section using terms that match the vacancy honestly.

Older or unrelated roles can be condensed to one line. Interests are optional. Personal data such as marital status, religion and full street address is rarely necessary. A photograph depends on local norms and personal choice; it is not a substitute for evidence.

Compact profile example

Customer support specialist with three years’ experience in German and English SaaS support. Handles technical tickets across email and chat, documents recurring issues and works with product teams to reduce repeat contacts. Improved first-response time by 24% while maintaining a 94% customer-satisfaction score.

Write the cover note in five moves

  1. Context: name the position or reason for reaching out.
  2. Fit: connect one part of your background to the employer’s immediate need.
  3. Proof: give one concrete result, project or responsibility.
  4. Motivation: show why this company or problem is relevant to you.
  5. Next step: invite a conversation and mention that further documents are available.

Five to ten sentences are often enough. Avoid retelling the CV. The note should explain the logic between your evidence and this opportunity.

Weak

I am applying because your vacancy looks interesting. I am motivated, flexible and a team player. Please find my documents attached.

Stronger

I am applying for the Junior Operations Coordinator position in Berlin. In my current role, I coordinate weekly supplier updates, maintain delivery data and resolve exceptions with three internal teams. By redesigning our tracking sheet and escalation routine, I reduced unresolved cases by 31% in four months. Your focus on simplifying urban logistics is especially relevant to the process work I enjoy, and I would welcome the opportunity to discuss how I could support the team.

Subject: Application — Customer Success Associate — Lina Hoffmann

Dear Ms Patel,

I am applying for the Customer Success Associate role advertised on your careers page. Over the last two years, I have supported B2B software customers through onboarding, product questions and renewal preparation in both German and English.

At Northline Software, I created a reusable onboarding checklist that shortened average setup time from 12 to 8 days and gave our team a clearer handover process. I am particularly interested in your product because it helps small businesses manage work that is usually fragmented across several tools.

My focused CV is attached. I would be glad to send certificates and references or discuss my experience in a short call.

Kind regards,
Lina Hoffmann

Seven mistakes that make “short” look careless

  • Using the same generic summary for every employer.
  • Removing proof and leaving only duties.
  • Sending a design-heavy CV that becomes difficult to scan.
  • Hiding dates or omitting context in a way that creates distrust.
  • Attaching several badly named files instead of one clear PDF.
  • Using an informal email address or vague subject line.
  • Failing to prepare the full document set for a fast follow-up.

Final 60-second check

  • The format is allowed by the vacancy or contact situation.
  • The target role appears in the subject line and opening.
  • The first half-page of the CV shows relevant evidence.
  • At least one result is specific and verifiable.
  • The email asks for a clear next step.
  • The PDF name and contact details are professional.
  • Your full application documents are ready if requested.
